Job Applicant Privacy Notice

Ryder System, Inc., a Florida corporation, (“Ryder,” “we”, “us”, or “our”) values your trust and is committed to the responsible management, use, and protection of your personal information. This Job Applicant Privacy Notice (“Notice”) describes our practices in connection with the personal information that Ryder collects from you in connection with your job application to and recruitment with Ryder.

What information we collect

We may have collected the following categories of personal information (information that identifies, relates to, describes, references, is capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular consumer or household from consumers) within the last twelve (12) months:

  • Personal identifiers, such as name and address
  • Device and online identifiers and related information, such as telephone number and email address
  • Username and password
  • Internet, application, and network activity, such as cookie IDs and browser visits
  • Government identifiers, such as national identification numbers and driver’s license numbers, authorizations to work, work visas
  • Demographic information, such as age and date of birth
  • Financial information, such as credit and debit card numbers and claims information
  • CV, resume, cover letter
  • Referral names and contact information for referrals
  • Information relating to character and employment references
  • Characteristics of protected classifications under state or federal law, such as gender and nationality
  • Biometric information, such as imagery of the iris, retina, and fingerprints
  • Location information, such as geo-location information
  • Audio, visual, and other sensory information, such as audio and video recordings
  • Employment information, such as employment history, occupation, title, licenses, professional memberships and skills
  • Background and criminal information, such as background checks and criminal convictions, drug screening results, credit reports
  • Education information, such as degree and schooling information
  • Individual preferences and characteristics, such as inferences, preferences you have expressed related to choice of working locations, or cover letter objectives
  • Any other information you elect to provide to us (e.g., potential conflict of interests, employment preferences, willingness to relocate, current salary, desired salary, awards or professional memberships).

Personal information does not include:

  • Publicly available information from government records.
  • De-identified or aggregated consumer information.
  • Information excluded from the CCPA's scope, like:
    • health or medical information covered by the Health Insurance Portability and Accountability Act of 1996 (HIPAA) and the California Confidentiality of Medical Information Act (CMIA) or clinical trial data;
    • personal information covered by certain sector-specific privacy laws, including the Fair Credit Reporting Act (FRCA), the Gramm-Leach-Bliley Act (GLBA) or California Financial Information Privacy Act (FIPA), and the Driver's Privacy Protection Act of 1994.


How We Collect Information

Information Collected from You
We collect information directly from you during the recruitment and hiring process. This includes information that you give us when you create a profile in our application system, and information you provide when you apply or interview for a position.

Information Collected Automatically
We also collect information from you automatically when you use our website or mobile services. This information may not identify you personally. For example, we may collect IP address, browser or operating system information, and referring website. Our websites may use cookies, which are small text files stored on your computer that help us to maintain your session or provide other interactive features. You can turn off cookies through your browser. However, turning off cookies may limit some functionality of the site, such as changing the layout of your personalized content. The site may also use web beacons, which allow us to know if you visited a certain page.

Information Collected from Other Sources
We receive information about you from third-party sources to assist us with specific employment-related activities. For example, background reporting agencies may conduct background checks on our behalf and provide their results to us. Examples of the types of information contained in a background check may include your criminal, employment, and educational history, as well as information about your character, general reputation, personal characteristics, credit standing, and more. We will obtain an authorized disclosure before conducting a criminal background check on you. We may also collect information from references you provide to us.

We may also receive information from publicly available social media or career site profiles.

How We Use Your Information

We may use your personal information for various purposes, including:

  • Recruiting and employment purposes
  • To create and maintain your account
  • To conduct business analysis, such as analytics, projections, identifying areas for operational improvement
  • To conduct auditing and monitoring of engagement
  • Legal or compliance functions
  • Updating operational and technical functionality
  • To protect the security and integrity of our systems, processes and our business, and help prevent fraud

Some examples of the recruiting and employment purposes described above are to:

  • Assessing your skills, qualifications, and interests against our career opportunities;
  • Verifying your information and carrying out reference checks and/or conducting background checks (where applicable) if you are offered a job;
  • Determining if there are conflicts of interest;
  • Communications with you about the recruitment process and/or your job application(s), including, in appropriate cases, informing you of other potential career opportunities at Ryder;
  • Creating and/or submitting reports as required under any applicable laws or regulations;
  • Where requested by you, assisting you with obtaining an immigration visa or work permit where required;
  • Making improvements to Ryder’s job application and/or recruitment process, including improving diversity in our recruitment practices;
  • Complying with applicable laws, regulations, legal processes, or enforceable governmental requests; and/or
  • Proactively conducting research about your educational and professional background and skills and contacting you if we think you would be suitable for a role with Ryder.

If you are offered and accept employment with Ryder, the personal information collected during the job application and recruitment process may become part of your employment record.

To the extent we process deidentified information, we will maintain and use the information in deidentified form and will not attempt to reidentify the information unless permitted by applicable law.

How We Share Your Information

All of the categories of personal information that we collect have been shared with other companies, including those within our corporate family, for a business purpose. We will only share your personal information within our corporate family of companies as permitted by law, except in the following circumstances:

Service Providers
From time to time, we may utilize service providers to administer certain programs, benefits, or administrative functions on behalf of Ryder related to our recruitment and hiring processes. We require our service providers to keep confidential the information that we obtain from you as an applicant. We do not allow our service providers to use or share your information for any purpose other than providing services on our behalf, without your affirmative consent.

Sharing for Legal Requirements and Protection of Our Companies and Others
We may share your information in certain other circumstances, which include situations when sharing is required by law, or we believe sharing will help to protect the safety, property, or our rights or the rights of our customers, our applicants or employees, or other persons. Examples include:

  • Protecting the health or safety of applicants, employees, or customers;
  • Addressing crimes committed on or to our properties;
  • Identifying and addressing fraud or financial risk;
  • Providing information to law enforcement at their written request;
  • Responding to a search warrant, subpoena, or other valid legal inquiry

How Long Do We Retain Your Personal Information?

We will keep the personal information we collect about you for as long as necessary to carry out the purposes set forth in this Privacy Notice or any other notice provided at the time of data collection, but no longer than as required or permitted under applicable law or internal Ryder policy. We dispose of the information we collect in accordance with Ryder’s retention policies and procedures.

Security

Ryder maintains appropriate technical and organizational measures, including, but not limited to, reasonably designed administrative, physical, and technical safeguards, designed to protect the personal information obtained as discussed in this Notice from accidental or unlawful destruction, loss, alteration, unauthorized disclosure and access. Ryder personnel and service providers with access to personal information collected as discussed in this Notice are required to keep such information confidential and secure.

Your Consumer Rights and Choices

Subject to certain limitations, you have the right to (1) request to know more about the categories and specific pieces of Personal Information we collect, use, disclose, and sell, and to access your information, (2) request correction of your Personal Information, (3) request deletion of your Personal Information and (4) limit the use or disclosure of your sensitive personal information (SPI).

1.  Request to Access My Personal Information: You have the right to request access to the personal information we may have collected about you.

Requests to access your personal information may be submitted up to two times in a rolling twelve-month period. In response, we will return to you the following categories of information, to the extent required by law:

  • The categories of personal information we have collected about you.
  • The categories of sources from which we collect your personal information.
  • The business or commercial purpose for collecting, selling, or sharing your personal information.
  • The categories of third parties to whom we disclose personal information.
  • The specific pieces of personal information we have collected about you.
  • A list of categories of personal information that we have sold or shared for cross-context behavioral advertising, along with the categories of third parties we sold it to or shared it with for cross-context behavioral advertising.
  • A list of categories of personal information that we have disclosed for a business purpose, along with the categories of third parties we disclosed it to.

2Delete My Personal Information: You have the right to ask that we delete your personal information. Once we receive a request, we will delete the personal information (to the extent required by law) we hold about you as of the date of your request from our records and direct our service providers to do the same. Choosing to delete your personal information may impact your ability to use our websites and online features.

3. Correct My Personal Information: You have the right to ask that we correct the personal information we may have collected about you if that information is inaccurate. We reserve the right to request identifying documentation from you in certain circumstances, as permitted by law.

4. Limit the Use and Disclosure of SPI: You have the right to ask that we limit our use and disclosure of your SPI to certain purposes permitted by law.

 

Exercising Your Rights (for California residents only)

To exercise your rights  described above, please submit a verifiable consumer request to us by either:

Only you or a person registered with the California Secretary of State that you authorize to act on your behalf, may make a verifiable consumer request related to your personal information. You may also make a verifiable consumer request on behalf of your minor child.

The verifiable consumer request must:

  • Provide sufficient information that allows us to reasonably verify you are the person about whom we collected personal information or an authorized representative.
  • Describe your request with sufficient detail that allows us to properly understand, evaluate, and respond to it.

We cannot respond to your request or provide you with personal information if we cannot verify your identity or authority to make the request and confirm the personal information relates to you. Making a verifiable consumer request does not require you to create an account with us. We will only use personal information provided in a verifiable consumer request to verify the requestor's identity or authority to make the request.


We do not charge a fee to process or respond to your verifiable consumer request unless it is excessive, repetitive, or manifestly unfounded. If we determine that the request warrants a fee, we will tell you why we made that decision and provide you with a cost estimate before completing your request.

Non-Discrimination (for California residents only)

We will not discriminate against you for exercising any of your CCPA rights. Unless permitted by the CCPA, we will not:

  • Deny you goods or services.
  • Charge you different prices or rates for goods or services, including through granting discounts or other benefits, or imposing penalties.
  • Provide you a different level or quality of goods or services.
  • Suggest that you may receive a different price or rate for goods or services or a different level or quality of goods or services.

General Children

We do not knowingly collect personal information from anyone under the age of 13. If you are under 13, please do not attempt to fill out our forms or send any personal information about yourself to us. If we learn that we have collected personal information from a child under age 13, we will delete that information promptly.

Shine the Light
California residents also have the right to request that we provide you with (a) a list of certain categories of personal information we have disclosed to third parties for their direct marketing purposes during the immediately preceding calendar year and (b) the identity of those third parties. Notice of Financial Incentive
If we provide a financial incentive, we will provide you with the details, including how the incentive is related to your data before you participate so that you may make an informed decision about whether and how to participate. In the event you decide to take advantage of a financial incentive, you will always have the right to withdraw from participation and we will provide you with directions on how to do so.

Changes to Our Notice

Ryder reserves the right to update or change this Notice from time to time. We ask that you review the Notice periodically to stay informed about any updates or changes that we may have made.
